This article explains how you can use and manage custom fields within your CRM system.

Custom Fields

One of the advantages in using LineLeader Enroll is that our platform is specifically designed to fit the needs of the childcare industry. However, we know our customers often work in custom ways, and we want to provide you the flexibility to capture, report, and build off all types of data.

With LineLeader Enroll you have access to an unlimited number of custom Guardian and Child fields!

How to Create Custom Fields

  1. Log in to your CRM system > go the "Families" table > click on the gear icon in the top right to open "Family Hub Settings"

    1. Note, if you don't see the gear icon, it's possible your administrators have not given you permission to view these settings

  2. Once opened, you will see several cards, including "Custom Guardian Fields" and "Custom Child Fields"

  3. Expand the card you are interested in and click to add a new custom field

  4. Name your custom field

    1. Note that when you name the field here, it's only reflecting what appears in your system, not what families see

  5. You can configure these custom fields to be open text fields, single-select lists, or multi-select lists

  6. Add the field options you would like to be available for this field

  7. Choose whether you want this field to be required or optional

Key Notes:

  • Custom Guardian fields are best for data points that you wish to track across an entire family i.e. preferred method of contact

  • Custom Child fields are best for data points that you wish to track across individual children i.e. allergies

  • If you choose to create a custom text field, keep in mind you won't be able to drive automation off that, though you can still include it into reports

  • Single-select pick lists are best if you only ever want one value to be present, whereas multi-select is best if you can store multiple values within the field


Sending Group Messages with Custom Fields

When adding custom fields into your CRM system, you can create custom groups off those fields.

All you need to do is navigate to your families table, select filters, and any custom fields you've added will be available to filter off.

Reporting on Custom Fields

Once you add a custom field into your CRM system, you can also pull it into your reports.

When you have a standard or custom report, click on the "Fields" icon in the top right corner. From there, use the scroll bar or search icon to locate your custom field and add it into your report.

Adding Custom Fields to Landing Pages

Once you've added custom fields into your CRM system, you can populate them on landing pages to have families fill out during their initial inquiry.

Navigate to your landing pages > open one of your landing pages > click "Edit Fields" in the bottom left of the page.

Once opened, you will have the ability to select any custom fields you've created in your CRM system.


Key Notes

  • When you add custom fields, you can name them as you wish them to appear for internal users of your system. However, when adding them to a landing page, we give you ability to change the name of how that field displays to families.

  • If you self-host your landing pages (by using our API or Customer Form method) you can pass in values to any custom fields you've created.


Creating Workflows with Custom Fields

Finally, once you add custom fields into your CRM system, you can drive custom workflows off those fields.

Login to your CRM system > go to Automation > Workflow Automations > Create a new workflow or edit an existing workflow.

If you choose to look at a Guardian or Child when creating a workflow, you can pull in the custom values.
