How to receive payments from third-party payers

This article will show you how to enter payments collected by reimbursement programs, such as CCDF and State Subsidy Programs

When receiving outside payers complete their payment, it is important to show the collection in LineLeader. This will help you keep track of the amount received by reimbursement programs. To add payments made by reimbursement programs, follow these steps:

1. Tap on the "Billing" option from the main menu

2. Within the “Payer Status” widget, tap “Receive Payments”

3. Apply filters to display the desired information. From the “Payer” drop-down, you may select the third-party subsidy you are looking to apply credits for. The date range on this report references the dates of service on each invoice. Then, tap “Update”

4. You may choose to expand each line to see additional details. By tapping on the arrow next to a child’s name, you can see information such as the Period (Dates of Service) covered with that invoice. From this expanded view, you may also choose to apply a different payment amount than what you originally expected to receive. For example, if you invoiced for $500 but only received $300, you may receive the $300 by keying in the amount in the text box.

If you need to reallocate the difference to a parent, you can tap on the invoice number. This guide will walk you through Reallocating Subsidy Payments.

5. As you compare your remittance form to this screen, you may select the children’s names. Once you’ve selected all of the children, confirm the total amount you are set to log and tap “Submit Now”

6. Confirm the payment number and amount are correct by tapping “Yes, confirm payment(s)”.

7. Upon confirming, you will see a note indicating the payments were successfully applied.

8. You will then be presented with a Payer Reconciliation report that you may choose to export.
