Maximize Your Success

Children grow older and leave your services & programs. You must replace them to stay in business. LineLeader Enroll makes keeping your classes and wait lists full both easy and routine.

The Families Journey

Any parent or guardian with a child that might become enrolled may be referred to as a “lead” in the system from time to time, however generally we refer to them as a family.

There are six active statuses, shown below. Moving families through them gets them closer to enrolment.

Please note: these statuses are customizable so they may be named slightly different in your system.

Most statuses are intuitive, but let’s define two:

Engaged: you’ve given and received communication with the family.

Registered: the child is scheduled to begin attending your service.

Keep your LineLeader Enroll clean and don’t waste time—if a family ghosts you, mark them as “Lost Opportunity”.

Your First Move: Pending Families

Families enter LineLeader Enroll in two ways:

  • Automated (Families from your website, Facebook, kiosks, referrals from other locations, etc.)

  • Manual Entry (Families who call, email, walk in, etc.)

Automated Leads are occasionally spam; they start as pending until you screen them.

Look at the Families name. Click on the "Action" button to view more information.

  • If it appears as a legit family and not spam, click "Action" and then "Accept".

  • If it does look like spam, click "Action" and then "Reject".

  • LineLeader Enroll will show you a grey hazard icon if a pending family might already be in your system. Click the icon, the "View Potential Duplicates" window will appear showing you the Pending Family next to the existing/s family in the system.

1) Accept the pending family if they seem like two different families.

2) Reject the pending families, it will disappear and the existing family/s will remain.

3) Merge the families, you'll then get one record with the most up to date information.

Archiving Test Data

Find the Family. If needed, add a child. Click the child, edit the child, and change the status to “Rejected or To Be Deleted”. This archives the child. Archiving all children archives the Family.

Entering New Families Manually

Enter every legit lead into LineLeader Enroll.

Entering Families is a two-step process.

Fill out as much as possible.

In the beginning, child info is nice-to-have, not need-to-have. When done entering Family info, click “Add child” if you have child info. Click “Add Family” otherwise.

Find A Family/Child

Families will appear within multiple sections of LineLeader Enroll, it's important you are aware of where to find your families information, quicky and easily. There are a couple ways to do this:

  • Type the child’s or families first or last name, phone or email into the "Search Families" bar.

  • If you know the families/child’s status (or want to see all leads/children in a status) click that status at the top of the Action Dashboard or if you have access to the Insight Dashboard, click the status on the Children by Status Graph.

Once found, you will be able to edit their information, add a child, assign tasks and send communications etc.

Move Those Families! Introduction to Tasks & Logging Events

Tasks are things you need to do with a Family (current or future). When you Log an Event, these are things that happened (past).

For example, to call a family tomorrow, create a “phone call” task today. Tomorrow you’ll get a reminder to call the family. If you call and receive their voicemail, you’ll complete the task by using the “called-left message” result type (And you’d maybe create another “phone call” task for the next day.)

All tasks should eventually end up completed with Result types saved. You can have an event logged without tasks, however. For example, you could create a log event “email received” if a family emails you unexpectedly.

With any family, goal #1 is to give them a tour, and goal #2 is to get them registered/enrolled or waitlisted. Schedule tasks to make those goals happen ASAP. Here’s how:

Move Those Families! Manually Creating Tasks & Logging Events

Step 1: Find the Family in LineLeader Enroll.

Step 2: If creating a new task, click “Add" in the Action Dashboard, or navigate to the " To Do" or "Future" tabs in the Family Hub. If creating a new event, click the “Add Log” icon in the "Guardian Name" card within the Family Hub.

Step 3: Select the “Task Type” or “Event”. Then fill out the rest of the form. The system can send reminders to families or staff for upcoming tasks if you want.

Move Those Families! Completing Scheduled Tasks

Tasks needing completion appear on the “To Do” tab in the Action Dashboard or within the Family Hub.

To view, edit or complete a task, click on the "Action" button

Then pick a “Result Type” and add comments if you want to, update the “Status” if you need to, and then click “Save" or "Save + Add Task".

Finally, if the family is still active and isn’t waitlisted or registered yet, make sure they have at least one assigned task. If they don’t, add a new task.

Move Those Families! Automated Tasks

LineLeader Enroll automates many tasks. See for yourself: create a new family, assign it a "tour/meeting" task for today's date, and then mark the tour complete. Then find the family and note that the status automagically updated to Tour Completed”.

This happens because a Workflow Automation says whenever a tour/meeting task is completed, change the status to “Tour Completed.” Completing tour/meeting task triggered the workflow, and status updates are the result.

See your Workflow Automation by clicking Automation>Automation. Save time: create your own whenever you find yourself doing repetitive tasks.

Reporting for Success

LineLeader Enroll produces several reports; explore the “Reports” tab to discover which reports have information you’re interested in. While exploring, you might consider these six.
