On the product development roadmap for LineLeader's Parent Led Registration feature is formalized Waitlist configuration and management. In the meantime, there are options to manage "waitlist" demand for your programs in the current system.

Safeguards currently exist to guard against over-enrollment through PLR:
When a family attempts to register for a program through a PLR form and that program's enrollment capacity has already been met, there will be a pop-up message that indicates the program is at capacity. This will prevent the family from submitting their information.

But here is how you can capture information for leads /families attempting to register for filled programs (and be able to reach out to them when a spot opens up):

Create a New Item Charge to represent the Waitlist

Navigate to: Billing > Configuration > Plans & Items

+Add > Select "Item"

  • Item Name: ex: "Before Care Waitlist"

  • Description: ”Before Care Waitlist” or "Join our waitlist for the Before Care program"

  • Program: Set Program - Depending on how you want it to appear to parents on the registration form:

    1. Option 1: Chose an existing Program if you would like the Waitlist to appear alongside the other options in the related program you are creating the waitlist for:

    2. Option 2: Create a New Program and name it "Waitlist" if you would like the "Waitlist(s)" on a separate tab

  • Fee: Set a fee for the waitlist (e.g. $25 or an amount equal to your registration fees) and mark it as refundable if applicable

  • (optional) Link to a schedule if you’d like to set a maximum number of Waitlisted records.

Other Recommended Configurations

  • Create a Group (Classroom) for your waitlisted Families: this could be one group for all your waitlisted families or a group for each program’s Waitlist.

    • Manage > Groups> +Add Group

  • If you’d like to send information on what your waitlist families can expect, create a Document from the Content Tab and assign it to the waitlist Group. You can leave the Template Option blank if families don’t need to acknowledge or sign.
