Document outlines the definition of date and ID fields across our reporting suite

Overview: LineLeader has several different fields relating to IDs and Dates in our data. From a structural point of view, our system builds Family based records that contain Guardians and Children. Tasks will always apply to Guardians, while status will apply to both Guardians and Children. However, statuses will only apply to Guardians if there are no child records on that Family record. Once a child record is created on a Family record, the children will hold the status. This logic can help explain the difference between Family, Guardian, & Child Dates.


Record Dates
These are all dates that apply to the Guardian or Child records, but not specific to their status

Child Record Dates

  • Actual Start Date: This field reflects the date a child starts. This field is automatically stamped when a child is “Enrolled”

  • Age Out Date: This field reflects the date on which the child will be aged out, based on their Date of Birth

  • Child Added Date: This field reflects the date the child was added to the system. It could differ from when the Family or Guardian was added

  • Child Birth Date: The field is the child’s date of birth

  • Child Expected Start Date: The field reflects the child's expected start date, which is manually entered data point, but required at the “Registered” status

  • Child/Guardian Added Date: This field reflects the date the Guardian or Child was added. If a Guardian and Child are added on the same date, this field will show the same date. If a Guardian is added first, and children are added later, this field would show different dates for the Guardian and the Child, even though they belong to the same family.

Guardian Record Dates

  • Family Date: The field reflects the date the family/primary Guardian is created. This time will be from the second the Family is created, including if they are in a “pending” status. This field can be manually edited in the interface.

  • Guardian Added Date: This field reflects the date the Guardian was added to our system. This time will be from the second the Guardian is created, including if they are in “pending” status. This field can be manually edited in the interface.

  • System Date: This field reflects the date the Guardian was added to our system. This time will be from the second the Guardian is created, including if they are in “pending” status. This field cannot be edited.

  • Status Dates: These are all the date fields that relate to the status of family members (both Guardians & Children)

  • Status Date: This field reflects the date the Guardian or Child entered their *current* status

  • New Lead Date: This field reflects the date the Guardian or Child entered the New Lead status

  • Tour Scheduled Date: This field reflects the date the Guardian or Child entered the Tour Scheduled status

  • Tour Completed Date: This field reflects the date the Guardian or Child entered the Tour Completed status

  • Wait List date: This field reflects the date the Child entered the Wait List status (Guardian’s cannot hold this status)

  • Registered Date: This field reflects the date the Child entered the Registered status (Guardian’s cannot hold this status)

  • Enrolled Date: This field reflects the date the Child entered the Enrolled status (Guardian’s cannot hold this status)

  • Lost Opportunity Date: This field reflects the date the Guardian or Child entered the Lost Opportunity status

  • Withdrawn Date: This field reflects the date the Child entered the Withdrawn status (Guardian’s cannot hold this status)


ID Fields
These are all fields that contain IDs specific to Families.

  • Child ID: This field reflects an ID specific to the child. Each child will have a unique ID, including additional opportunities.

  • Child Management System Id: This field reflects an ID specific the child in a management system, if there is an integration in place.

  • Facebook Click ID: This field reflects a Facebook Click ID, specific to the Guardian/Family, if you have an Facebook integration setup and are passing this data in.

  • Family ID: This field reflects an ID specific to the family

  • Google Click ID: This field reflects an ID specific the child in a management system, if there is an integration in place.

  • Facebook Click ID: This field reflects a Google Click ID, specific to the Guardian/Family, if you are passing this value through an integration when passing data into LineLeader.

  • Primary Guardian Management System Id: This field reflects an ID specific the Guardian in a management system, if there is an integration in place.
