Family Data Import

The LineLeader platform is able to import family records (data about the children and guardians) into the system in bulk to streamline the onboarding process.

Typically, an implementation specialist will provide our standard import template, but one can be requested anytime from support@lineleader.com.

Simply export the information from your current source-of-truth for these records and copy and paste it into the template provided and return to LineLeader. Be sure not to alter the heading names or the order of the columns as they are standard and aligned to our import tool.

Inputting the data into the import template must be administered by the center(s). The LineLeader team is not able to to assume the liability of manipulating data that does not belong to us. When working with this type of information, it is necessary to receive it in the required format so there is not an opportunity for error including but not limited to duplications, omissions, or accidental changes.

When providing data for import into the Enroll platform:
- This file should contain ALL populations of records/families/children from leads to enrolled students that you wish to have in your CRM

- Required Fields: Lead First Name, Lead Last Name, Lead Email, Location, Status, Lead Source, Inquiry Type, Lead Date

- There is some flexibility to the template - for any fields where a list of dropdown options are available - If you need an additional option(s) for one of these fields that is not in the current dropdown list one can usually be custom added.

When providing data for import into the Manage and Engage platform:

- This file should contain ONLY Enrolled families

- Required Fields: Child Name (represented by First and Last Name columns ), at least one Parent Name (represented by Parent 1 First and Last Name columns), and Parent Email Address (represented by Parent 1 Email column)

- Suggested Fields: The remaining fields are not required BUT The value of this upload tool is as an overall time saver. It takes more time to enter info in individual profiles one by one. We recommend you input as much info as possible into the file upon import.

Unified Integration: Enroll + Manage/Engage Imports

- If your center is utilizing both Enroll and Mange/Engage there is an integration that will populate records between systems - your implementation specialist will advise you on import practices.

- If you are onboarding Manage/Engage with an existing Enroll environment that is already live:

  • Discuss with your implementation specialist if Enroll automation triggers should be deactivated during import to Manage (when new families are created in Enroll and placed into statuses workflows will execute).

  • From there:

    • Ensure all waitlist / registered / enrolled data is accurate in Enroll (withdraw any who are not)

    • LineLeader team will export all Enroll families and add to Manage import template

    • The center will have the opportunity to review the Manage import file and add more info/fields data before we upload (ex: pin codes).

Please Note:

  • Bulk data importing is typically a one-time exercise during onboarding. Best practice dictates we do not allow "rounds" of bulk uploads on the same dataset - i.e. We cannot upload again if/when you collect new data on the families because it will override the existing data OR create duplicates.

  • Data imports typically require a week turnaround to process.
