LineLeader's Unified Integration

LineLeader Enroll (CRM), Engage (Parent Engagement), & Manage (Childcare Management System) products seamlessly integrate together in one unified platform. This integration simplifies the process of managing contacts, streamlines administrative tasks and reduces the chances of errors or discrepancies in customer records.

Functionality

Single-SignOn (SSO):

  • If a Manage login email matches an Enroll recovery email, the two accounts will be linked.

  • After they’re linked, whichever login and password is used to log into either system first will thereafter log the user into both platforms.

  • Best practice: use the same email and password for the username and password in both systems, and use that same email for the Enroll recovery email.

Navigating between tools - Platform Switching:

  • Clicking the “Enroll” button at the bottom of the navigation bar in Manage and clicking the “Manage” button at the bottom of the navigation bar in Enroll will move the user back and forth between the systems.

  • Clicking the “Manage” leaf icon in Erroll's Family Hub will switch the user to view the same Family in Manage. Clicking the “Enroll” button when viewing a person’s profile in Manage will switch the user to view that family’s Family Hub page in Enroll.

Unified Search:

Searching in either platform will show families / guardians and children in both Enroll and Manage, along with a button to view the search results in whichever platform that person is found.

Define Exportable Statuses:

By default, children (and their Guardians) get exported when the child is moved to any status between “Wait List” and “Enrolled”. However, child statuses can be added or removed from the export status list by clicking Settings → System → Statuses and checking/unchecking statuses under the “Export” column.

Data Transfer between Enroll < > Manage

Enroll TO Manage:

  • Data Transfers - Enroll to Manage : Guardian/Child: In a unified platform, when a child in Enroll enters any status between Wait List and Enrolled, that Child and their Guardian(s) are automatically exported to Manage within seconds. There is no checkbox to enable/disable this. Custom statuses between Wait List and Enrolled will export as well. Updates to such data in Enroll will also show up in Manage immediately. The following fields / data points remain in sync:

    • Guardian’s Phone Number

    • Guardian’s Email Address

    • Guardian’s First Name

    • Guardian’s Last Name

    • Guardian’s Address

    • Child’s First Name

    • Child’s Last Name

    • Child’s DOB

    • Child’s Gender

    • Child’s Class/Group (if mapped)

    • Child’s Status (including checking the “Wait List” flag in Manage if it’s enabled)

      • Custom Statuses: Manage will respect custom statuses in Enroll. If a customer renames “Registered” to “Paperwork Complete” then “Paperwork Complete” is what will appear in Manage, children put into “Paperwork Complete” status will export, to Manage, etc. (The Wait List flag is an exception to this rule.)

  • Data transfers - Enroll to Manage: Staff/Administrators: When a Staff person is added or edited in Enroll, a comparable Administrator user will be created in Manage. The following fields remain synced:

    • First Name > First Name

    • Last Name > Last Name

    • Recovery Email > Email

    • Recovery Email > username in Manage

    • Phone > Primary Phone

    • Org Level > Org in manage (only on create, not on edit)

    • Position will dictate Role based on mapping

  • Data transfers - Enroll to Manage: Additional Contacts: When a Child is initially exported, any Additional Contacts will also export to Manage as Family, Additional Contact, or Emergency Contact people, depending on how they’re marked in Enroll.

  • Data Transfers, Enroll to Manage – Additional Opportunities: Enroll tags the record with the most recent status update as record #1, and this is the record Manage links to.

  • Data Transfers - Enroll to Manage: Bulk Export Families: After centers and classes are mapped in the CMS Integration wizard, users will be offered an “Export Families” button. Clicking it will bulk export all Guardian and Child data to Manage. Clicking it again (for example, after a new center has been mapped) is safe and will not cause duplicate data in Manage.

    • Dup Checking: The system will attempt to find records in Manage that already match records being exported and will link them rather than create duplicates.

Manage TO Enroll

  • Data Transfers - Manage to Enroll: Administrator: If an Administrator is added in Manage, when they accept their invitation to create a user account they will also appear in Enroll as a new Staff. If data is updated in Manage, corresponding data in Enroll will also update within a minute or so. The following data transfers/remains in sync:

    • First Name > First Name

    • Last Name > Last Name

    • Email > Username (on create, update email on Manage does not change username in Enroll because of SSO)

    • Email > Recovery Email

    • Primary Phone > Phone

    • Org Level > Org Level

  • Data Transfers - Manage to Enroll: Add Family/Child: When a Family type relationship is created between a Child person and a Family person:

    • The Child will be added in Enroll

    • The Family person will be added as that Child’s Primary Guardian (if there isn’t one already), as that Child’s Secondary Guardian (if Primary already exists) or as an Additional Contact (if both Guardians already exist).

      • If added as a Primary Guardian, the Inquiry Type and Guardian Source will both be set to “Unified Integration”.

    • The system will check for existing matches and link families that are found to already be in Enroll, rather than creating duplicate records.

  • Data Transfers - Manage to Enroll: Edit Family/Child: If a Child or Family record is linked to an Enroll record and data that exists in both platforms is updated in Manage, Enroll’s data will automatically update within a minute or so.

  • Data Transfers - Manage to Enroll: Child Schedule & Child Status:

    • If a child has a current, active schedule, their status in both systems will be “Engaged”.

    • If the child has no current schedule but has a schedule set to start in the future, their status will be “Registered”.

    • If a child’s schedules are all expired, their status will be “Withdrawn”.

    • Updating the schedule will update the status automatically within a minute or so.

  • Data Transfers, Manage to Enroll – Add Family: Records in Enroll that came from Manage will be assigned “Unified Integration” Inquiry Type and Guardian Source values.
