Track Reimbursement Changes in Accounting Reports

Overview

Our platform is all about providing you with the flexibility and control you need. To that end, we've introduced a new feature that allows you to reallocate from a family to a payer when an invoice doesn't already have a payer associated. This means you can add another payer to an existing invoice at a later stage if needed. Plus, changes to reimbursements will now create accounting activity, making it easier for you to track changes in your accounting reports.

Using the Feature

Here's how to use this feature from the detailed invoice screen:

  • Navigate to Child > Transactions > [click an invoice #].

  • Click on the "Add Reimbursement" link to log accounting activity and update the invoice when the workflow is saved. This will:

  • Debit the Subsidy AR code (Payer discounts or other plan discounts in the ledger billing maps)

  • Credit the Family AR code (Accounts Receivable in the ledger billing maps)

  • Ensure parent balances are correct after adding a reimbursement.

  • Click on the "Modify" link to adjust the reimbursement amount. This will:

  • Credit the Subsidy AR and Debit the Family AR if the saved amount is less than originally allocated.

  • Credit the Family AR and Debit the Subsidy AR if the saved amount is more than originally allocated.

  • Click on the "Void" link to cancel the reimbursement. This will:

  • Credit the Subsidy AR and Debit the Family AR.
