Configure Schedule Types for Children

Schedule Types help to identify when children are scheduled to be in your center (i.e. what types of schedules they are enrolled in - such as "AM only" or "PM only" or "After Care only" or what times of day they are intended / planned to be present. For example: 8am - 12pm). Schedule Types also help to identify what FTE (Full Time Enrolled) value should be for the associated schedule (for ex: Afternoon/PM schedule type may equal 0.5 FTE).

Schedule Types differs slightly from a child's "Assigned Schedule" or the "Scheduling" you perform in a child's profile which is more child-specific and includes start and end dates while Schedule Types are just the generic categories or types of schedules available at your center and their FTE value equivalent.

Configuring these schedule types will play a big role in the results of the Enrollment Forecast Report, the "This Week's Schedule" widget, and more. The primary benefit is enhanced forecasting insight and capacity planning by FTE.

To configure your schedule types:

1. Tap “Admin” on the left-hand menu bar

2. Locate the “Schedule types” section and tap “Configure”

3. Next, tap “Add Schedule Type” to enter a new time classification:

4. Enter a description and time block for this schedule type. Here are a few examples:

It is important to enter the Full-Time Equivalent (FTE) amount for each schedule type. These numbers typically range from 0-1 with 1 being a full-time student.

Please note: For full-time or primary care, it is important to select the “All Day” check box rather than entering it at a specific time.

FAQ: Child's "Assigned Schedule" vs. "Assigned Billing Plan" vs. "Assigned Schedule Type" - Are all three required to be assigned to a child?
Answer:

  • A Child's Schedule – at highest level - indicates when they will attend – start attending the center and withdraw

  • A Schedule Types – what types/times of day (AM only, PM only, etc) or overall program the child is expected/enrolled in

  • Billing Plan – what are they enrolled in as an invoicing plan

  • Schedules can be linked to billing plans. While this is not a hard requirement, it helps ensure proper invoicing, especially for plans that are tied to scheduled attendance. By linking them it streamlines the system – you'll see all the scheduling info and forecasting info etc. when you are looking at Billing tab for a child for example. Schedules can be completely independant though – although linking would be a best practice. Eliminates human error.

  • Schedule Types – are a way to derive FTEs for forecasting. If a child comes 5 days a week but for half a day the system calculates them as a .5 FTE

  • While it is recommended a child be assigned all 3 it is not required. For forecasting, however, all 3 are required. If you don’t require forecasting then schedule types do not need to be assigned.
