How to Add the Daily Billing Plan to a Child’s Profile

1. Add the Daily Drop-In Billing Plan to the child’s profile by clicking the “Add Plan” button. After selecting the daily plan and filling out the appropriate fields, click “save”.

  • Plan: This is the tuition plan you would like to enroll the child in.

  • First Invoice Date: This is the first day a child should be invoiced automatically. You can enter any date prior to your scheduled automatic invoice date.

  • Override Rate: If a child has an adjusted rate you will want to enter that in this field. If you enter in an override rate, that is the amount the family will be charged per day.

  • Expiration Date: This field allows you to stop invoicing a child for a plan on a specific date. If you know this child will be changing rooms or leaving the center, you may choose to set the last invoice date field. For example, if my center invoices on the 15th of the month, and this child should not be invoiced for next month, I could set the expiration date to the 16th of last month.

  • Include in Enrollment Forecasting: Select a date to add the child to the Enrollment Forecasting Report. This should be the first day the child counts towards numbers in your center.

  • Last day to include in enrollment forecasting: This field allows you to enter the last day the child will be attending at your center.

2. Issue a Manual Invoice by clicking on the “Manual Invoice” button on the child’s billing tab.

3. Check the child’s Transactions tab to confirm that the invoice was issued.

There are a couple of options when enrolling a child in a Daily Billing Plan below:

  1. Enroll a child in the Daily Billing Plan, and set the first invoice date to the first day you want the system to count check-ins. If you are wanting to include all drop-in days in May, you need to set the first invoice date to 5/1/22. The system will automatically count all days the child has been checked in and create a charge for each of those days.

  2. Create an item charge for all previous days that the child attended (including today if needed) and enroll the child in the Daily Billing Plan for tomorrow going forward.

  3. If you are enrolling a child who will start dropping in for tomorrow, enroll them in the Daily Billing Plan and set the first invoice date to tomorrow.
