Understand the Family Balance Report

The Family Balance Report allows admins to view the total balances that family members currently owe and have paid to the center. For instance, if the child at your center has a family split on their invoices, the Family Balance Report can be a helpful tool to see which parent still owes the center.

1. To view the Family Balance Report, click on Billing in the left panel. Select Report, and click on the Family Balance Report.

2. Open the Report and input the following information in the open fields and click “Update.”

  • Date Start and Date End: While the Family Balance Report will always show you the current balance held by parents, the start and end dates on this report allow you to chose how many invoices you’d like quick access to on this report. Select a range to include additional invoices beneath each parent’s name.

  • Family: If you’d like, you can filter this report to a specific parent. Leave this field blank for the report to populate all parents.

  • Sort: Filter by the total a family owes and by their name (Last, First).

3. Below is an example of how much Hope’s parent Klaus has paid and still owes the center.

  • Date and Time: Invoice Issue date

  • Name: Child's Name

  • Description: Invoice number and clickable details here.

  • Original Amount: Invoice amount

  • Paid Amount: This provides information on how much the parent applied to an invoice.

  • Other Credits: Other credits applied to an invoice will be listed here.

  • Open Amount: This allows the admin to know if the invoice still has not been paid.

  • Balance: The amount of each invoice.

  • Ending Balance: The total balance the parent owes.
