Scheduling tours using the Action Dashboard
Your tours are one of the most important marketing tools. Make
sure you or your centre staff are not missing any important tours
or meetings with families. Place them on the Action dashboard
so you are able to view them easily.
On your Action Dashboard. Dashboard > Action. Select the "Calendar" tab.
2. Use the Calendar to navigate to the correct date, click or click and drag on the desired time slot and The "Add Meeting" side modal will appear.
3. Start typing the name of the Guardian or Child in the "Guardian / Child*" field. Select the family once the correct one appears. (The family must already be existing in the system)
4. In the "Meeting Description" add any notes or comments relevant to the tour.
5. Use the date and time picker to adjust the time of the tour/meeting, you can also adjust the duration of the tour/meeting if need be.
6. Review all of the "Guardian" and "Staff" email and text reminders. If required you can make adjustments to the default times.
7. Once you've reviewed and completed all mandatory fields, click "Save and Send Reminder" to finalise scheduling the tour.
Scheduling tours via the "Meetings Tab" in the "Family Hub"
If you already know the family who would like to schedule a tour, you can also add the tour/meeting via the Families "Family Hub".
Navigate to the Families "Family Hub" you can do this by either using the Families Table or the "Search Families"
2. Once you are on the Families "Family Hub" scroll down to the "To Do" or "Future" tab. (depending on the date of the tour).
3. In the "To Do" or "Future" tab click on "Add" which will open the same calendar in the Location Dashboard.
Follow steps 2-7 mentioned above to enter in all required information to schedule and finalise the tour/meeting.
