This article will explain what permissions mean and how to manage them in LineLeader Enroll.

User Permissions

The LineLeader Enroll platform is designed to allow users various levels of access across the system, while respecting the hierarchy each user sits at. When setting up users, you can designate their permissions, which can also be managed in bulk by those who are given access.

Are you a franchisee customer? If so, note that permissions operate in a slightly different fashion.


How Hierarchy Determines Permissions

Before we start, remember that a users hierarchy will always determine what locations & family info they have access to.

Users at the location level hierarchy can be configured to the below permissions:

  • Access Gear Icons

  • Edit Message Templates

  • View/Edit Landing Pages

  • View/Edit Parent-Scheduled Tours

  • View/Edit Marketplace

  • View/Edit the Settings Navigation

    Note: Location users will also default to the "Action Dashboard", you can grant them access to see " Insight Dashboard" if desired

Users at the corporate level hierarchy can be configured to all the above, in addition to:

  • Edit Reminders

  • Edit Workflow Automations

  • Edit Marketplace

  • View/Edit Drip Campaigns

If you are using our Enrollment Team feature, it will open up one more permission to both location & corporate users:

  • Edit Enrollment Center Info


Expanding User Permissions

If you desire to increase the permission set within the CRM system, to allow for more control of your user base, you have the ability to do so. When logging into the system, go to Settings > User Information > Click Gear Icon Top Right > Enable "Use expanded user permissions"

Doing this will enable the following permissions to your user base:

  • Edit Another's Tasks & Meetings

  • Send Group Communications

  • Delete Documents

  • Access Automation Navigation

    • View Message Templates and Reminders

    • Edit Message Templates

    • View/Edit Marketing Campaigns

    • View Workflow automations

  • Access the Reports Navigation

  • View/Edit the Settings Navigation

    • View/Edit User Information


What Each Permission Impacts

Access Gear Icons

  • This determines which users have access to the gear icons throughout each section of the system.

  • If enabled, a user will only have access to gear icons for areas they have permission to

    NOTE: This setting offers the most access to configuring your CRM system, we suggest only providing to system admins.

Edit Another's Tasks & Meetings (Expanded Permission)

  • When enabled, a user can edit/cancel other tasks within the system

  • When disabled, a user cannot edit/cancel other tasks within the system, but they can still complete

Edit Enrollment Center Location Info (Enrollment Team Specific)

  • If you have Enrollment Teams enabled, this setting allows users to edit and update the information on the Enrollment Dashboard's "Location Information" panel

  • Note: If Enrollment Centers is enabled, and you are at corporate, you will have access to the Enrollment Teams dashboard.

  • Note: If Enrollment Centers is enabled, and you are an enrollment team member, you will have access to the Enrollment Team dashboard specific to your designated locations.

Send Group Communications (Expanded Permission)

  • This permission toggles on/off a users ability to bulk message families

Delete Documents (Expanded Permission)

  • This permission toggles on/off a users ability to delete attachments in the family hub

Access the Automation Navigation (Expanded Permission)

  • This permissions allows you to toggle on/off all related automation navigation. If enabled, you can still be selective with which automation section a user has access to.

Edit Message Templates

  • This determines which users can edit message templates. If you don't have access to this permission, you can still view templates.

    Note: Users with this permission can still only edit templates within their org hierarchy.

    Note: If using expanded permissions, you can separately toggle view & edit

Edit Reminders

  • This determines which users can edit reminders. If you don't have access to this permission, you can still view reminders.

  • This is a corporate level setting only and cannot be given to users below the corporate level.

  • Note: If using expanded permissions, you can separately toggle view & edit

View/Edit Landing Pages

  • This determines which users can edit & create new landing pages.

  • Note: You can only add new landing pages for locations at, or below, your hierarchy.

View/Edit Parent-Scheduled Tours

  • This determines which users can access Parent Scheduled Tour Setup settings. If you don't have access to this permission, you can still "View Dates" to manage the availability of tour times at your specific center.

  • Note: You will only have access to the setup wizard for locations at, or under, your org hierarchy.

View/Edit Marketing Campaigns

  • This allows for the permissions to edit & create marketing campaigns

Edit Workflow Automations

  • This determines which users can view workflow automations

    Note: Corporate users are the only ones who can ever edit/create workflows. This permission would only grant view access to lower level hierarchy users.

View/Edit Drip Campaigns

  • This determines which users can access the Drip Campaign feature

    Note: This requires Drip Campaigns be enabled in your system

View/Edit Marketplace

  • This determines which users can manage integrations within the marketplace.

Access the Reports Navigation (Expanded Permission)

  • By default, all users have access to reports. This permissions allows you to restrict access.

View/Edit the Settings Navigation

  • This determines which users have access to the "Settings" tab, which contains Organization Info, User Information, and System Settings.

    • Organization Info

      • If a user is at the location level, they can only view this information, not add or edit.

    • User Info

      • Users can only add/edit users at or below their current level in the org hierarchy.

    • System Settings

      • Users below the corporate level never have access to System Settings.

View/Edit User Information (Expanded Permission)

  • Specifically grants the ability to toggle on/off the creation and viewing of users.


How to Bulk Update Permissions

If you are looking to manage user permissions across your account, you can do this by navigating to Settings > User Information > click the "View User Permissions" button in the top right.

Once you are at this page, you can view all active users and which permissions they have set.

In the top left corner, you can filter the list by organizational level or position. This would allow you to easily select all "Directors" and bulk update their permissions.
