LineLeader Enroll - Adding Staff

This article describes how to add and manage staff users in LineLeader Enroll.

Staff Overview

Within LineLeader Enroll, you can add an unlimited number of staff members. Setting up staff members is more than creating logins, as the staff profiles can have impact across your entire system.

Be professional and accurate when adding staff information, as it's possible the information you add for a staff member will be used in marketing content that gets sent to families.

Step 1: Adding the Staff Member

  • Login to LineLeader Enroll > go to Settings > User Information > Click "Add User" in the top right corner

    • Note: Only certain users in your system will have permissions to add new users

  • The system will require the creation of a username, which the staff member will use to login

  • Indicate the specific position this user holds within your organization and the organization level they belong to

    • Note: The organization level is very important as it will determine the experience this user receives. If this is a location based user, be sure to assign them the level of the location. If it's a corporate based user, be sure to assign them to a corporate level.

      • For large organizations with complex organizational hierarchies, go to Settings > Organization Info to setup the structure/hierarchy you desire

    • Note: If a user is assigned to a location level, they will automatically get assigned to our location based dashboard view.

  • The contact email will identify how the system communicates with this user and the recovery email is where they can reset their password to

    • Note: These can be the same

  • For Phone number, we advise using a cell number so the staff member can receive text based alerts for their tasks and meetings


Step 2: Identify if Staff to be Used in Templates

  • Once you've indicated the staff position and org level, you have the option to choose if this staff member will be used in email templates

    • Note: When building marketing templates within LineLeader Enroll, we provide you the ability to enter in "merge variables", such as {Location Director} or {Corporate Admin}. When creating users, you can assign them to specific roles and locations which can then be used as merge variables in your marketing templates.

      • Example: When setting up your Director, you may want to identify them as the Location Director for their school, so their information will auto populate within the marketing templates you send out.

      • Example: It's possible that you may want some marketing materials to address a corporate user on your account, in which case, you can identify a user as "Corporate Admin".


Step 3: Permissions

You also have the ability to customize user permissions.

  • Login to LineLeader Enroll > go to Settings > go to User Information > Click "View User Permissions" in the top right corner

  • From this table, you can view your users and in the top left you can filter the table by position or organizational level

    • Note: This is a great way to view how all Location Director's have their permissions set and manage any changes you would like to make to those settings


Step 4 (Optional): Bulk Re-Assign Tasks

If there is a staff change within your organization, we provide you the ability to bulk update their tasks to another user.

  • Login to LineLeader Enroll > go to Settings > User Information > Locate a User > Click "View/Edit" > Scroll down to "Reassign Tasks"

  • When at this screen, you can choose which location you wish to reassign tasks for and then to which staff member you want to reassign the tasks to


Step 5: (Optional): Customize Staff Fields

You have the ability to customize staff profiles.

  • Login to LineLeader Enroll > go to Settings > User Information > Click the gear icon in the top right corner

  • Add any applicable Job Titles which can then be applied when creating new staff

  • Add any custom staff fields that you might want to track across your user profiles
