Standard Synchronization Rules for Child Care CRM/Daycare Works Integration

Integration between Child Care CRM (CCCRM) and Daycare Works (DCW) involves a nightly two-way synchronization process. Please read through the following standard synchronization rules and let us know if they conform to your processes. If not, please submit your specific modification request(s) so that we can determine whether it can be accommodated (there may be an additional fee). The turnaround time will necessarily be determined by the complexity of your customization request(s).

Standard Status-Change Rules for Children WITH Discharge Date

  1. If child has a currently active schedule in DCW, a “1” is sent to CCCRM in the Current Schedule Indicator Column. This changes status to Enrolled.

  2. If child has a both a currently active schedule AND a future schedule in DCW, a “1” is sent to CCCRM in both the Current Schedule Indicator column AND the Future Schedule Indicator Column. This changes status to Enrolled.

  3. If child has a future schedule in DCW, a “1” is sent to CCCRM in the Future Schedule Indicator Column. This includes drop-ins which have a schedule with no dates. This changes status to Temp Leave.

  4. If a child has no schedule, either current or future, a “0” is sent to CCCRM in both columns. This changes status in CCCRM to Withdrawn, whether or not there is a Discharge Date in DCW.

* Temporary Leave

If a large number of enrolled children have gaps in their child care periodically throughout the year, or if your center closes throughout the year, you can choose to use the Temporary Leave status when child status in DCW is active with future schedule only.

To begin the integration process, our development team will need your DCW API Key and API Pass. You can acquire these directly from DCW. A monthly fee may apply.
