What Tour Intelligence Does
Before Tour Intelligence, everything a director learned before, during, or after a tour lived in a notes field — or in their head — and was easy to lose once the task aged off the dashboard.
Tour Intelligence gives every tour a permanent record and four places to work with it:
A dedicated Tours tab on the Action Dashboard
A full-screen Tour Guide the director runs the tour from
A Tour Debrief that opens the moment a tour is completed
A Tour Insights analytics page showing when your tours actually convert
Everything captured stays on the family record permanently and flows into your workflows and reports automatically.
How a Tour Flows Through Enroll
A tour moves through six steps, in the order a Center Director experiences them.
1. The Tours Tab
A dedicated tab on the Action Dashboard that separates tours from every other task, grouped into Today's Tours, Pending Outcome (flagged in amber), and Upcoming. Selecting a tour opens a full preview — contact info, Family Priorities, children, inquiry source, and buttons to start the tour or open its debrief.
2. Start Tour
A short, guided check before the tour begins. The director confirms the guardian's and each child's information — pre-filled from the record — rather than typing it from scratch. Any edits save back to the family record.
3. The Tour Guide
A full-screen, tablet-friendly screen the director carries through the building. It shows Family Priorities, an on-demand AI summary, your team's configured talking points (with a progress bar), and a tappable grid of your center's tour areas.
4. Complete Tour
Completing a tour saves the outcome first — result, description, who ran it, and when — so the record is safe before anything else happens. The debrief prompt then opens automatically.
5. Tour Debrief
Whatever post-tour questions your organization configured — likelihood to enroll, concerns raised, and so on. It's skippable, and dismissing it never affects the outcome that was already saved. It stays available later from the tour card or the task's Tour Insight tab.
6. The Permanent Record
Every tour a family has ever had lives on their Family Hub record, newest first. Expanding any tour shows the Family Priorities, outcome, and debrief captured that day — so re-engaging a family months later takes one click to catch up.
Tours still appear in the To Do tab exactly as they always have, so existing routines don't break.
Where Your Tour Data Goes
Every Family Priorities and Tour Debrief answer automatically becomes usable in:
Workflow conditions — e.g., trigger a same-day follow-up when Likelihood to Enroll = Very Likely
Task reports and exports — filter and count answers across your organization
The task modal — a Tour Insight tab holds these answers alongside the existing Details tab
Family Hub and the Tour Insights analytics page
AI Tour Insights
An on-demand summary a director requests from the Tour Guide — it never runs on its own. It reads the family's record, their Family Priorities, and your configured talking points, then returns one key signal worth leading with and up to five relevant talking points.
What it will do
Lead with the most concrete, decision-relevant fact in the record
Surface a concern as something to get ahead of, not a verdict
Weave in your center's own talking points where they fit
Return fewer points — or none — when the record is thin
What it won't do
Judge a family as a weak or low-value prospect — ever
Invent intent, concerns, or priorities the record doesn't support
Pad its answer to five points just to fill the card
Generate in the background without a director asking
Thin records give thin insights, by design. Capturing Family Priorities is the single best thing a center can do to make this card useful.
Setting It Up
Four configuration screens live under Tours in the left navigation. Nothing is pre-set for you.
Family Priorities — the questions your staff ask before the tour. Keep it to one to three; this is a form filled out on the phone.
Tour Debrief — the questions captured after the tour, using the same builder.
Tour Talking Points — your Tour Types and Talking Point Areas, plus the content for each, authored per center.
Tour Insights (⚙) — which task types count as tours and which outcomes count as completed. Every analytics number depends on this.
Two rules worth knowing
Disabling or deleting a field never deletes the answers already captured — they just stop displaying.
Changes save only when you click Save Changes; there's no unsaved-changes warning in this version.

Tour Insights Analytics
Found under Tours → Tour Insights, scoped to your locations and a date range you choose. It separates two questions that are easy to confuse: when families book tours, and when tours actually convert.

Peak Booking Day / Time | When the most tours get booked |
Best Day / Time to Tour | When tours have the highest completion rate — not the highest volume |
Charts below the summary cards plot both tours booked and completion rate by day of week and by two-hour block, over the last 7, 30, or 90 days, last 12 months, or a custom range.
If the cards show dashes, open the settings gear and confirm which task types count as tours and which results count as completed — the conversion metrics can't calculate until that's set.
