Holidays can be configured to cancel certain schedule types and automatically prorate future invoices. This feature will help track program capacity, ensure accurate reporting, and allow admins to keep their finger on the pulse of their site.
ποΈ Set Up Holidays & Auto-Proration
You can now configure holidays to:
Cancel schedules automatically when your site is closed
Prorate tuition based on attendance or program rules (if using automatic autoproration)
Show accurate scheduling to admins and families
βοΈ How to Enable It
Holidays canceling schedules is already a core feature within Manage. You can already find the settings to configure your holiday names, duration, and operating schedule types.
If you would like to utilize the automatic proration feature, please contact LineLeader support or your CSA to enable this feature.
π How to Add a Holiday
From your left hand navigation menu click on Admin > Holidays > Configure
Click + Add Holiday
Enter:
Holiday name (e.g. 4th of July)
Single day or date range
Select which schedule types still run (e.g. Camp, Drop-in)
Choose whether to Auto-Prorate Future Invoices (if enabled at your location)
Click Save or Propagate to apply across multiple locations
Once a holiday is saved, any existing schedule entries that were populated before the holiday was added will automatically be canceled. If the holiday is set to automatically prorate future invoices, any invoice manually generated by an administrator or automatically generated by the system will prorate accordingly. If you do not want billing to be impacted by this holiday, simply set the "Auto Prorate" setting to "No - Do not affect future invoices for holiday".
If you would like to mass-apply this holiday to multiple sites within your organization, simply tap "Prorate Settings", select the sites you'd like to apply the settings to, and hit "Save".

π What Does Each Proration Option Do?
β Auto-Prorate by Date (Standard)
Reduces invoices based on business days available.
Example: $2,000 monthly plan / 20 business days = $100/day
If one holiday is entered and is set to automatically prorate future invoices, the maximum monthly rate is lowered to $1,900.
Works with: Monthly, Bi-weekly, Flat, Weekly billing frequencies
π Auto-Prorate by Schedule (New!)
Only for Weekly Scaled Pricing Plans.
Instead of doing math, the system simply uses the lower day tier if a holiday reduces care days.
Example:
Family pays 5 day scaled pricing rate of $225/week
Holiday removes one day β charged the 4 day scales pricing rate of $210/week
Auto-Prorate by Schedule offers a more advanced manner of proration. Because the system is referencing the child's enrolled schedule, if a child was not scheduled to attend on the holiday origionally, there will be no impact to their invoicing even if the holiday was set to automatically prorate. For example, if a holiday was entered on Friday and a child only attended Monday, Tuesday, and Wednesday there would be no impact to this child's invoicing since they were not impacted by the schedule. However, a child set to attend Monday, Wednesday, and Friday would have their rate adjusted to the 2 day pricing bracket for the week the holiday occurs versus their regular 3 day pricing bracket for the week.
Auto-Prorate by Schedule works in coordination with Auto-Prorate by Date. If you have children enrolled in Weekly Scaled Pricing Plans and other invoicing frequencies, both methods may be used at your site simultaneously.

For customers utilizing the Parent Led Registration feature in Manage, we've added a calendar icon next to the day of the week a holiday is scheduled for. If you hover your mouse over the tool tip, you will be reminded of the name of the holiday and which schedule types do operate on that holiday.

When viewing schedules under Time > Scheduling, admins will now see a tile indicating which holidays are scheduled. If a holiday represents a full site closure, the admin will only see the holiday tile for that day. If a holiday allows certain schedule types to operate, you will see the holiday reminder and any schedules recorded for the holiday.
Child's Profile > All Entries tab under Scheduling
Admins will not be able to save a non-recurring schedule entry that falls on a holiday if the schedule type is not operating on the holiday. For example, if "AM" and "PM" care are not offered on a holiday while a "camp" schedule type is offered, children will not be able to be scheduled for a one-off "AM" or "PM" schedule but can be added to a one-off "camp" schedule for that holiday.
If a recurring schedule is entered that encompasses a holiday, LineLeader will automatically cancel the schedule for the holiday. You may review this under the "All Entries" tab on the child's profile. Any schedules canceled due to a holiday will be represented as "Canceled" Holiday - [Name of Holiday]"
Parent Led Registration
If your site is using the Parent Led Registration feature within Manage, parents will not be able to select a holiday as their desired start date if their program does not operate on the holiday. For example, if parents are registering for After School and the site has a full closure holiday logged for the Independence Day, parents will be required to select the business day before or after the holiday as their desired start date.
