Integrating Your External Calendar with Enroll

Sync your location's calendar with your Google, Outlook, etc. calendar

Overview

With calendar integration, your external calendar (Google, Outlook, etc.) can sync with Enroll. This means:

  • Your personal appointments will show on the CRM calendar.

  • Tours and meetings scheduled in Enroll will appear on your external calendar.

  • Parents will not be able to book tours when you are busy.

Each location in Enroll can link one external calendar.


Connecting Your Calendar

  1. Go to the Location Settings

    • Click on "Settings" in the top menu.

    • Select "Locations" from the sidebar.

    • Find the location you want to integrate and click "Edit".

  2. Start the Integration

    • Click the "INTEGRATE CALENDARS" button.

    • A pop-up will appear asking you to select an email address associated with the external calendar you want to link.

    • Check all the boxes to give "Nylas" access to your account.

  3. Select a Calendar

    • If your account has multiple calendars, you’ll be asked to choose one.

    • Select the calendar that should sync with Enroll.

  4. Toggle "Show External Calendar Details" on or off.

    • ON: Event names from your external calendar will be visible. (See the "Post-Integration screenshot below for an example.)

    • OFF: External events will appear as “Other Appointment.”

  5. Confirm & Save

    • Click "Save" to complete the integration.

    • Your calendar is now connected!


How Calendar Integration Affects Parent-Scheduled Tours

If you use Parent-Scheduled Tours, the integration will automatically block tour times when:

  • A meeting is scheduled in Enroll.

  • Your external calendar has an event marked as “Busy.”

This prevents parents from booking tours during unavailable times.

Example:

  • You allow 1 tour at a time.

  • You have Marriage Counseling in your Google calendar from 9:00 to 10:00am.

  • You have a Tour booked in Enroll from 10:00 to 11:00am.

  • Parents are blocked from booking a new tour from 9:00 to 11:00am.


Disconnecting Your Calendar

If you need to unlink your calendar:

  1. Go to Location Settings (Settings > Locations).

  2. Click "Edit" for the location.

  3. Click "CANCEL CALENDAR INTEGRATION".

  4. Confirm by clicking "Proceed".

Note: Removing a calendar deletes its events from Enroll but does not remove Enroll events from your external calendar.


Troubleshooting

I can’t integrate my calendar!

  • Make sure you’re logging into the correct calendar account.

  • Each location can have only one integrated calendar.

I get a message saying my calendar is already connected to another location.

  • A calendar cannot be linked to multiple locations.

  • Try using a different calendar or disconnect it from the other location.

Events aren’t syncing!

  • Allow a few minutes for updates to appear.

  • Make sure the event is marked as “Busy” in your external calendar.

Best Practices and Instructions

  • Create a new center-based calendar (share access for admins) for this purpose (not users personal calendar as they may block for OOO which is not desired)

    Risk note: Don’t block calendar that is integrated or it will block tour times
