Staff Time Reporting Enhancements (Manage)

Offer staff the convenience of approving time cards from their cell phone and offer center directors the ability to better manage overtime.

Who can access this feature?

Center staff and administrators

How is this used?

Mobile approval of time cards:

Enable this functionality via the web app:

  1. Click Admin > Settings > Configuration > Staff Timekeeping > Configure

  2. Enable Time Confirmation

  3. Select the day of the week staff should confirm their time

  4. Click Save > OK

Staff utilization on mobile:

· A “Time Card Approval” card will appear on the user’s Dashboard when there is a time card needing approval:

Overtime reporting:

Enable and configure overtime calculations:

  1. Click Admin > Settings > Configuration > Staff Timekeeping > Configure

  2. Set “Hours Threshold” and “Frequency” in the OverTime Settings section

  3. Most states in America define overtime as anything more than 40 hours weekly, but some states define overtime as anything more than 8 hours daily.

  4. Check “Active”

  5. Click Save and OK

View overtime projections in the Staff Time Report:

  1. 1Click Reports > Staff Time Report

  2. Select desired report parameters

    1. Note that we’ve introduced a new “Org(s):” field so users can run this report for multiple sites at once

  3. Click Update

    1. (Overtime hours are most intuitive when the start and end dates are for the current work week.)

  4. Observe the new “Projected Overtime Hours” column

    1. (This calculation is based on hours already worked (shown in the report) and scheduled hours remaining (not shown in the report). Example: If an employee has already worked 32 hours and 10 more are scheduled in a state that defines overtime as anything over 40 hours, the report will show “2” under Projected Overtime Hours.)

View total weekly hour projections on the Schedule Entry form:

  1. Click Manage > People > [click a Staff person] or use the search bar to find a staff person

  2. Click Scheduling > + New Schedule Item or click the three dot icon > Edit

  3. View the “Total Hours Scheduled” between “Set End Date” and “Arrival Time”:

(This calculation shows actual hours worked plus scheduled hours remaining for the work week the Date falls within. For employees who work multiple schedules, the total for ALL work schedules is shown so directors know the total hours being scheduled.)
